How to Start a Sportswear Manufacturing Order: Step-by-Step

Updated 14 October 2026 · By Salman Munawar, Founder, Ravix Pro Industry

Quick answer: To start a sportswear order, send your design or tech pack, get a quote and mock-up, approve a sample, confirm sizes and payment, then the factory produces and ships.

Placing your first order with an overseas sportswear factory can feel complicated. In practice it is a clear sequence of steps, and most of the work is done in the first message you send. This guide shows exactly what to prepare, what happens at each stage, and what to check before money changes hands.

Quick answer

To start a sportswear manufacturing order: (1) prepare a brief or tech pack with design, fabric, sizes and quantity, (2) request a quote, (3) approve the mock-up and pay for a sample, (4) approve the sample, (5) confirm the order with a deposit, (6) let production run with updates, (7) inspect before shipping, and (8) pay the balance and receive the goods.

Building a clothing or sportswear brand? Ravix Pro Industry is a sportswear and apparel manufacturer in Sialkot, Pakistan, offering OEM and private label manufacturing for clothing brands: product development, samples, custom labels and packaging, and consistent bulk production, certified WRAP, BSCI, OEKO-TEX and ISO 9001. MOQ 30 pieces per design. Private label · OEM manufacturing · Get a free quote.

Step 1: Prepare your brief

You do not need a perfect tech pack to start, but the more detail you give, the more accurate the quote. Include:

  • Product type and reference photos (front and back).
  • Fabric preference and weight, if known (see what is GSM).
  • Logo files in vector format (AI, PDF, SVG) and Pantone colours.
  • Decoration: sublimation, screen print, embroidery, DTF or patches.
  • Quantity per design and size split.
  • Labels, hangtags and packaging needs.
  • Delivery country and target date.

Our tech pack service can help if you only have a sketch.

Step 2: Request a quote

Send the brief through the quote form or WhatsApp. A good factory replies with unit price by quantity tier, sample cost, lead time and payment terms. Compare quotes on the same specification, not just price.

Step 3: Mock-up and sample

The factory prepares a digital mock-up for you to approve, then makes a physical sample, usually in 7 to 14 days. Read sample vs bulk production to know what to check.

Step 4: Approve and confirm

Approve the sample in writing, with any final changes listed. The factory then sends a proforma invoice (PI) showing styles, sizes, quantities, prices, delivery terms and payment terms.

Step 5: Deposit and production

Common payment terms Typical use
50% deposit, 50% before shipping Most small and medium orders
30% deposit, 70% before shipping Repeat buyers, larger orders
Letter of credit (L/C) Large orders and established importers

Pay only to a bank account in the company’s own name. Production starts once the deposit is received; expect updates with photos at cutting, decoration and stitching.

Step 6: Inspection and shipping

Before the balance is paid, check finished goods by photos, video or a third-party inspection. Our quality control guide explains AQL inspections. Then agree the shipping method and Incoterm (for example DAP or DDP for door delivery). See the sourcing guide for international buyers for duties and logistics.

From our factory floor in Sialkot

At Ravix Pro Industry we have manufactured sportswear since 2008. Every order follows the same 11 steps: quote, design, approval, sample, cutting, decoration, stitching, thread trimming, quality check, packing and door-to-door shipping. Sublimation, screen printing, embroidery and stitching happen in-house, so we control colour, print quality and timing ourselves. The most common problem we see with first-time buyers is skipping the sample; a physical sample costs a little extra but prevents expensive surprises in bulk. See our manufacturing process and quality checks.

FAQs

What do I need to send to get a sportswear quote?

Product type, reference images, quantity per design, sizes, decoration method, logo files and the delivery country. Fabric and label details make the quote more accurate.

Do I need a tech pack to order?

Not always. For standard teamwear and our base styles, photos and a logo are enough. For new designs, a tech pack avoids mistakes.

How do I pay an overseas manufacturer safely?

Use bank transfer to an account in the company name, keep the proforma invoice, and pay the balance only after inspection photos or a third-party inspection.

What is the minimum order?

At Ravix Pro, 30 pieces per design with sizes mixed.

Who handles customs?

It depends on the Incoterm. Under DDP the seller arranges duties and delivery; under DAP or FOB the buyer handles import clearance.
